Refund & Cancellation Policy

This Refund & Cancellation Policy ("Policy") governs all transactions on Codians.ai ("Platform", "We", "Us", "Our"). As a global IT services marketplace, Codians.ai provides businesses with access to top talent, project outsourcing services, and transparent reviews.

By using Codians.ai, Clients and Codians (Freelancers/Talents) agree to abide by this Policy.

1. Milestone-Based Payment & Escrow System

  • Codians.ai operates on a milestone-based escrow model.
  • Clients fund project milestones before work begins.
  • Codians receive payments only after Clients approve completed milestones.
  • This system ensures fairness, security, and transparency for both parties.

2. Cancellation by Clients

  • Clients may cancel a project or milestone before work begins and request a refund of escrowed funds.
  • Once a milestone is marked as "In Progress," cancellations are subject to Codian's agreement.
  • Clients must provide valid reasons for cancellation (e.g., project scope change, budget constraints).

3. Cancellation by Codians (Freelancers / Talents)

  • Codians may cancel a Work Order or milestone only in exceptional circumstances (e.g., illness, technical inability, unavoidable conflicts).
  • Codians must notify the Client immediately via the Platform.
  • In such cases, Clients will be entitled to a full refund of any unused milestone funds.

4. Refund Eligibility

Refunds will be considered in the following scenarios:

4.1 Before Work Starts

If no work has started, escrowed funds will be refunded to the Client in full (minus payment gateway fees).

4.2 Work Not Delivered

If Codians fail to deliver work within the agreed timeline without valid justification, Clients may request a full refund of the relevant milestone.

4.3 Work Not as Agreed

If delivered work is materially different from the agreed scope and Codian refuses to make corrections, Clients may be eligible for a partial or full refund.

4.4 Mutual Agreement

Refunds may also be processed when both Client and Codian mutually agree to cancel.

5. Non-Refundable Cases

Refunds will not be granted in the following situations:

  • Client changes mind after approving a milestone.
  • Work has been completed and approved (explicitly or implicitly).
  • Refund requests made beyond 7 days of milestone submission.
  • Delays caused by Client's own inaction (e.g., not providing inputs, feedback, or approvals).
  • Platform service fees and payment gateway charges are strictly non-refundable.

6. Dispute Resolution for Refunds

  • In case of disagreements, either party may raise a Refund Dispute within the Platform.
  • Codians.ai will act as a neutral mediator, reviewing contracts, work submissions, and communications.
  • Codians.ai's decision shall be considered final and binding.

7. Refund Timeline

  • Approved refunds will be processed within 7–14 business days, depending on payment method and banking institutions.
  • International transactions may take longer due to cross-border settlement rules.

8. Mode of Refund

  • Refunds will be credited back to the original payment source (bank account, card, PayPal, Stripe, Razorpay, etc.).
  • Codians.ai does not issue refunds in cash or third-party accounts.

9. Cancellation of Platform Services

Codians.ai reserves the right to cancel or suspend accounts due to:

  • Violation of Terms & Conditions.
  • Fraudulent, illegal, or abusive activities.
  • Misuse of refund requests or chargebacks.

In such cases:

  • Remaining escrowed funds may be refunded to the rightful party after investigation.
  • Codians.ai's service/platform fees remain non-refundable.

10. Chargebacks & Fraudulent Claims

  • Users agree not to file chargebacks with banks/payment providers without first seeking resolution via Codians.ai's Dispute process.
  • Fraudulent chargebacks may result in account suspension, legal action, and reporting to payment networks.

11. Global Compliance

Refund and cancellation terms comply with global e-commerce, digital services, and consumer protection laws, including:

  • GDPR (EU)
  • CCPA (California, USA)
  • Indian IT Act & RBI Payment Guidelines
  • Other relevant international laws

12. Policy Updates

Codians.ai may amend this Policy at any time to reflect changes in business, technology, or legal requirements.

Users will be notified of material updates via email or platform notifications.
